Privacy Policy

Who we are

UltraCoach is operated from the Czech Republic. For any privacy question or request, contact privacy@ultracoach.eu.

What we collect

• Account details: your email address and name
• Activity data: FIT/GPX files and GPS tracks you upload (manually, via bulk import, or via Strava sync), plus the performance metrics derived from them
• Profile and baseline information you provide: age, weight, gender, and heart rate data
• Nutrition logs and notes you enter
• Race data you enter in the Event Planner: race details, GPX routes, checkpoints, and pacing plans
• Live GPS position during an active LiveTrack session
• Crew contact details (name/email) you choose to enter for race-day notifications
• If you use the mobile app: device location (needed for LiveTrack) and, if you pair a heart-rate sensor, the heart rate readings it broadcasts

How we use it

Your data is used solely to provide the UltraCoach service — generating AI training reports and coaching guidance, computing your baseline, running Event Planner and LiveTrack, and sending the notification emails you've opted into. We do not use your data for advertising and do not sell it to third parties.

Third-party processing

• AI reports and coaching text: relevant activity/profile data is sent to a third-party large language model provider (currently Google, via the Gemini API) to generate your report or guidance. Only the data needed for that specific report is sent. The provider may change over time as better options become available.
• Weather context: the date and location (latitude/longitude) of an activity or race are sent to Open-Meteo to fetch historical or forecast weather — no other personal data is included in that request.
• Strava: only if you choose to connect your account. We then access your Strava activity data under the permissions you grant, subject to Strava's own privacy policy.
• Analytics: our public pages (home, about, sign in, registration) use Google Analytics (GA4) to understand traffic — pages viewed, referral source, general device/location info. This sets Google's own analytics cookies and is subject to Google's privacy policy. It runs only on these logged-out marketing pages, not inside the app itself.

LiveTrack and crew sharing

When you start a LiveTrack session, your GPS position is stored and made available to anyone holding the session's link — this is an opaque, unguessable link rather than a login, by design, so your crew doesn't need an account. You control who that link is shared with. Position history for a session is kept as part of your race record unless you delete it.

Crew emails

If you enter crew members' email addresses (for race-eve briefs or other race notifications), we use them only to send the specific messages you've requested for that race. We don't otherwise contact or retain them beyond that purpose.

Data storage and retention

Your data is stored on a server located in the Czech Republic. We use standard security practices to protect it (hashed passwords, session-based authentication). Uploaded FIT files are retained for as long as the associated activity exists in your account — there is no automatic age-based deletion; removing an activity removes its stored file.

Your rights

Under GDPR, you have the right to access, correct, export, or delete your personal data, and to object to or restrict certain processing. You can delete individual activities from within the app, and can request deletion of your entire account and all associated data at any time by contacting us — we'll confirm once it's done. If you believe your data has been mishandled, you also have the right to lodge a complaint with the Czech Office for Personal Data Protection (Úřad pro ochranu osobních údajů).

Cookies

We use a single session cookie to keep you logged in — this is required for the app to function and isn't optional. Our public marketing pages also set Google Analytics cookies (see Analytics above); you can block these with your browser's cookie settings or a tracker-blocking extension without affecting your ability to log in and use the app.

Children

UltraCoach is not directed at children under 16, and we do not knowingly collect data from them.
